• Military status (active duty, veteran, civilian)
• Family composition (number of adults, children, ages)
• Children's school grade levels and special needs (if voluntarily provided)
• Pet information (if voluntarily provided)
• Service preferences and special requests
• Property preferences submitted through our Property Scout service (budget, desired bedrooms and bathrooms, rental or purchase intent, preferred neighborhoods, must-have features, move-in timeline, and current location)
• Payment information (processed securely through Square or Stripe. HBC does not store card numbers)
• Website usage data via Google Analytics (IP address, browser type, pages visited)

3. How We Use Your Information

• To schedule and deliver your requested concierge services
• To contact you regarding your booking, service updates, and follow-up support
• To send invoices and process payments
• To recommend Preferred Partner businesses relevant to your needs (with your consent)
• To improve our services and website experience

We do NOT sell your personal information to any third party.

4. Information Sharing

We may share limited information with:

• Our internal staff and contractors solely for service delivery
• Preferred Partner businesses only when you request a referral
• Payment processors (Square, Stripe) for transaction processing
• Google Analytics for website performance tracking

We will never share your military status, family details, or personal information with any third party for marketing purposes without your explicit consent.

4A. Utility Setup Service Disclaimer

The HBC Utility Setup service fee covers only the coordination and setup work performed by Home Base Concierge on your behalf. Any deposits, activation fees, monthly charges, or other costs assessed by utility providers, insurance companies, or internet service providers are the sole responsibility of the client.

5. Data Security

We use industry-standard encryption and secure storage practices to protect your personal information. All client files are stored in password-protected cloud systems with restricted access.

6. Data Retention

We retain client records for a minimum of 3 years for business and tax purposes. You may request deletion of your personal data at any time by contacting us in writing. Note: we may retain records required by law.

7. Cookies

Our website uses cookies through Google Analytics to track visitor behavior and improve user experience. By using our website you consent to the use of cookies. You may disable cookies in your browser settings at any time.

7A. SMS / Text Message Communications

With your consent, Home Base Concierge sends SMS text messages to the phone number you provide. These messages may include appointment and booking confirmations, appointment reminders, service updates and status changes, follow-up support, and occasional account or service-related notifications.

How you opt in: SMS messaging is entirely optional. You opt in by actively checking the SMS consent box on our contact form and providing your phone number. The box is unchecked by default, and consent to receive text messages is not a condition of purchasing any service.

How you opt out: You can cancel SMS messages at any time by replying STOP to any text message you receive from us. After you reply STOP, we will stop sending SMS messages to that number. Reply HELP for assistance, or contact us at [email protected] or (706) 786-4295.

Message frequency varies. Standard message and data rates may apply based on your mobile carrier and plan. We do not sell or share your phone number or SMS consent with third parties for their own marketing purposes.

8. Children's Privacy

We collect information about children only as necessary to deliver school enrollment and childcare services requested by a parent or legal guardian. We do not knowingly market to minors.

8A. Enrollment & Registration Fees

Families are responsible for all enrollment and registration fees charged by schools, daycares, childcare centers, and any other third-party institutions. HBC assists with research, paperwork preparation, and coordination only. Payment of any third-party enrollment or registration fees is the sole responsibility of the client.

8B. Confidentiality

All client information is kept strictly confidential. HBC does not share, sell, or disclose any personal or family information to outside parties except as required to deliver your requested services or as required by law.

9. Your Rights

You have the right to:

• Request a copy of the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your personal data
• Opt out of marketing communications at any time
